The importance of the Administrative Communications Center lies in that it is the Authority’s efficient, effective interface with the world. It uses state-of-the-art technology to facilitate efficient communications, streamlining procedures and saving the vast amount of time and effort that traditional paper-based transactions would otherwise consume. The CTS system is vital to upgrading the department’s performance, while improvements in other working methods to boost speed, precision and reliability were invaluable. Introduction


Since it handles all technical and administrative functions and tasks, the Administrative Communications Center is the lifeline of any government or private establishment. The department is vital in its capability to handle, archive and forward inbound and outbound transactions in ways that make it easy to reverence and review these transactions at any time, thus making the department the sole reference for all departments what wish to follow up on any transaction.
As such, the Administrative Communications Center at the General Authority of Civil Aviation is the primary channel through which transactions are handled. It is responsible for securing the passage of all external transactions through to all other departments, and thus requires proper working procedures to function as efficiently, effectively and reliably as it should.

Mission


  1. Automate the operations of administrative communications.
  2. Document and develop the operations of administrative                          communications and electronic archiving.
  3. Replace paper-based transactions with electronic handling.
  4. Increase the efficiency of the CTS system.
  5. Determine process completion rates and set evaluation standards and performance measurements.
  6. Streamline interconnectivity between the Authority and all external sectors.

Duties & Responsability


  • Replace paper-based transactions with electronic ones and automate administrative communications operations.
  • Receive, handle, log, and forward transaction files from external entities through fax, mail, airmail, and email to concerned parties.
  • Receive transaction files from the Authority’s other departments, log them into the system, and forward them to external entities through fax, mail, express mail, or email.
  • Electronically archive copies of all inbound and outbound communications.
  • Provide other departments with electronic copies of inbound and outbound communications.
  • Implement the department’s organizational guidebook.
  • Prepare mail, air freight, and special dispatches at the Kingdom’s airports and ship them off through Saudia Airlines’ air mail service.
  • Receive all calls to the Authority and forward them to concerned parties, help departments communicate with external parties, and provide them with the communications and phone number data of external entities. This data is updated regularly through the center’s switchboard, which runs around the clock.
  • Send and receive all outbound and inbound fax communications through the round-the-clock Communications Center, physically deliver inbound communications that arrive from external entities outside normal operating hours, log them into the system, and forward them to other departments and external entities through fax or email, as some of these communications are time-sensitive, such as transit and landing permits and requests for receiving and seeing off VIP visitors to the Kingdom.
  • Follow up on all inbound communications and answer all inquiries, questions and notes that concern them.
  • Oversee the CTS system and resolve any issues and requests users might have.
